4 things to note before closing the books

At a high level, here are 4 things to consider as you begin closing the books on 2018 and start fresh in the new year.

  1. Backup Your Data
    Executing a complete backup of your database is one of the most important things you can do before starting any closing process. You should also test the backup to ensure it was performed successfully and the data is readable.

    If you make a mistake, the only way to “reverse” year end processing is to restore data from a backup.

  2. Follow the Module Closing Order
    A year end process in one module often writes data to another related module. Therefore, closing modules in the proper sequence is extremely important in order to avoid unexpected results or damage to your data.

Sage 100 2018 Product Update 5 (2018.5) was released in mid-November. Here’s a look at what’s new in the latest version including automated bank reconciliations, job cost enhancements, and new features in Sage 100 Payroll.

Automated Bank Reconciliation

Workstation Synchronization has been enhanced to update Sage 100 Standard Workstations along with Sage 100 Advanced and Premium Workstations. Sage 100 Standard Users are no longer required to run WksUpdate Standard.exe on each Sage 100 Standard Workstation. 

All Sage 100 updates must be installed on the server where Sage 100 is installed.

For eBusiness Manager users upgrading for the first time to Product Update 3 or higher, you will need to perform the following one time:
  1. From the Sage 100 Server, copy the following files located in the ..\MAS90\Home folder:
    1. pvxclr4.dll
    2. Sage.Exchange.dll
    3. wsVault.dll
  2. Copy the 3 files above to the server where the Sage 100 Web Engine is installed. The default location for the Sage 100 Web Engine installation is "C:\Program Files (x86)\Sage\Sage 100 20XX WebEngine\WEBENG\Home\", but this is configurable.

Sage 100 2018.5 (and higher) users with Payroll integrated with Bank Reconciliation, will need to also install Sage 100 Payroll 2.18.5 (or higher).

Bank Reconciliation

  1. Check, Deposit and Adjustment Entry now is enable for banks that are not in use when in use message has occurred for a bank that is in use.
  2. Formatting enhancements have been made to the Bank Reconciliation Report.

Job Cost

  1. "The Exclude From Certified PR Report is not required" after restoring a Job from History to Active Jobs.
  2. Item Code description is showing correctly in Job Billing Data Entry if the transactions originating from the Purchase Order.
  3. Numeric Cost Codes with 1 segment 9 in length is now being zero-filled.
  4. Job Billing Register updates a current period Job Billing invoice to the current period in JC_JobBillingHistory.m4t.

Library Master

  1. Error 13 SY_ReportManagerGeneratedListing_rpt.pvc 206 NOT occurring after printing a custom report that contains PR_EmployeePIIWrk.m4t on Sage 100 2018 Premium.
  2. New bitmaps have been added to 90wres.dll, Dot-Black16 and Dot-Red16.

Purchase Order

  1. An Error #65 no longer occurs when processing a drop ship Purchase Order from Sales Order for Miscellaneous Items.

Bill of Materials

  1. ***Invalid Bill*** no longer prints on Summarized Bill of Materials Report for Option Bills with a component that is also a Bill of Material.

Job Cost

  1. The address on the Job Cost Billing Invoice now prints the address from AR Customer.
  2. Error "A General Ledger Account is missing for a division number: xx" no longer occurs when posting Retention in Job Billing and "Track Job Cost Retention Receivables" is unchecked in AR Options.
  3. "JC_ConvertToFramework:000000:000 - Error #1: Logical END-OF-RECORD reached, File: JC_JobMemo.m4t" no longer occurs during conversion.
  4. Multiple J/C Reports Job to Date amount is now accurate.
  5. There is a new Cost Type Mapping Utility to map invalid cost types to valid values. The new utility can be launched from File > Run > *UTL.
  6. Actual % Complete entered in Job Billing Data Entry now prints correctly on Job Billing Invoice.
  7. No longer receive error "The Cost Code Format is Invalid", when creating Alphanumeric Cost Code less than 9 characters.
  8. Customer Address no longer populates Job Address field in Job Maintenance when creating a new job and then selecting the Customer No.
  9. Billable Contract amount no longer changes when Retention amount is changed in Job Billing Data Entry.
  10. Job Status Maintenance settings are no longer ignored and do not prevent posting.
  11. Job description and job address are now carried over from the estimate when using Estimate Update to Jobs.
  12. When updating the Time Track Register from Job Cost, Time Track History is no longer overwritten if the exact same Employee, Date Worked and Sequence Number are used again in Time Track Entry.
    NOTE: This defect only fixes the Time Track Register when it is updated from Job Cost, where Time Track is only enabled in Job Cost Options. If Time Track is enabled in BOTH Job Cost And Payroll Options then you must also install PR 2.18.4 in order to fix both updates. (PR update was fixed in 2.18.4, Defect# 109771)
  13. Job Billing Data Entry for Time and Material jobs now includes the Item Code in the Description for transactions originating from Inventory.

Library Master

  1. Error 55 SY_LineEntry_ui.pvc 778 no longer occurs after creating a valid routine for a new field added to payroll.
  2. ALE Full Text search now returns results as expected in Sage 100.
  3. Error 65 SY_TASKLAUNCHER.M4P 0382 no longer occurs when running Journal/Registers task from Task Scheduler.
  4. Auto complete search now returns expected results in Sage 100.
  5. Records are now being written out to PR_EmployeePIIWRK correctly.

Paperless Office

  1. The Same e-mail Subject header text, such as the same <CustomerName> merge field, is no longer received by multiple recipients of Paperless Office Electronic Delivery e-mails.

Payroll

  1. An Error 45 no longer occurs when printing the Direct Deposit Maintenance Listing. Sage 100 2018 Product Update 4 or higher must also be installed to resolve the issue.

Purchase Order

  1. Quantity on Purchase Order is now correct after updating receipts with the same purchase order at the same time.

Sales Order

  1. Credit Card Authorization Date now populates into the SO_PickingSheetWrk table from SO_SalesOrderPayment.
  2. Corrected issue with Reset row in SO Invoice Data Entry clearing the line item when it is a Miscellaneous charge or a comment item instead of recalling the item from Sales Order.
  3. Corrected blank invoice list box in Sales Order and Quote History Inquiry drill down into item level when order has been applied to a Multi SO Invoice entry.
  4. Sales Commission and Gross Profit is no longer Overstated on Kit Items with Back Order.
  5. Print Pick Sheets is now deselected in Sales Order Entry when Sales Order Type is changed from Standard to Quote.
  6. SO Invoice Printing, Lines are now printed in proper order.
  7. Corrected issue with reset row removing miscellaneous charge and comment type item in Shipping Data Entry
  8. Workstation Synchronization has been enhanced to display a warning if one or more files could not be updated. See Sage 100 Knowledge base number 92996 for more information.

Sage CRM 2018 Release 3 Coming Soon

Sage CRM 2018 Release 3 (R3) is scheduled for availability in August 2018. This latest version will include a number of improvements including these highlights:

More Calendar Enhancements - in addition to the ability to now create quick appointments for other users, you can also view all items in the calendar as a list to make better use of screen real estate.

Quick Find - Quick Find has been improved so you can search for Person and Company records by their postal address, email address, or phone number.

Supported Character Sets - improved support for Unicode characters, including special characters and emojis.

Customer Cases - more than 50 customer cases and product fixes have been addressed with this release.

Bill of Materials in Sage 100 Cloud 2018.3

A new field ‘Sync Misc Charge Changes with Bill Tables’ has been added to Bill of Materials Options. There are three options for updating bills with changes made for miscellaneous change items in Miscellaneous Item Maintenance:
  • Yes - to update bills with the changes made in Miscellaneous Item Maintenance.
  • No - if you do not want to update the bills
  • Prompt - to receive a message when you update a field for a charge item in Miscellaneous Item Maintenance asking if you want to update the field in Bill of Materials.

Sales and Purchasing in Sage 100 Cloud 2018.3

In the Sales Order module during invoice data entry, you can now apply multiple sales orders to an invoice if the invoice type is either Standard or Cash Sale. In addition, several reports, forms, registers, and on-screen inquiries have been updated to indicate that multiple sales orders have been applied.

In the Purchase Order module when creating POs using ‘Auto Generate from Sales Orders’, any drop-ship items that are used in multiple lines in a sales order can now remain on separate lines in the purchase order. Previously, duplicate lines were consolidated into one line in the PO.

Custom Office Enhancements in Sage 100 Cloud 2018.3

Several changes and improvements were made to the Custom Office module including:
  • Calculator Option for Numeric Fields - A calculator check box has been added to the Multi-Line Definition window. Select this check box to include the calculator button next to the field.
  • Buttons Appear in Screen Editor - In the Customizer screen editor, Calendar, Calculator, and Lookup buttons now appear as they do when using the screen in Sage 100.
  • Ability to Exclude UDFs from Selection Grids - Use the new ’Exclude from Report Selection’ check box when adding a user-defined field (UDF) to a table for a main entity, such as AR_Customer, to exclude the UDF from selection grids for reports that use the table.

Contact your account representative or the Webmaster" when processing credit cards on a website using eBusiness Manager, can be resolved by copying the following files from the Sage 100 Server and adding/replacing them on the Server running the Web Engine: pvxclr4.dll,Sage.Exchange.dll, and wsVault.dll. Then run the Web Engine as an Application, not as a Service. There is another outstanding defect regarding the Web Engine running as a Service,see Knowledge Base entries 82537 and 82539.

Fixed Assets

  1. Closing date is no longer different than the Sage Fixed Assets ending date.

Inventory Management

  1. Tier Type is no longer missing from IM_ItemCost after update quantity committed.


Sales Order

  1. Error 14 _WINPROC 320 no longer appears when performing more than one Quick Print in Shipping Data Entry.


Web Services

  1. Certain Web Services APIs no longer fail after upgrading to Sage Exchange Desktop (SED) 2.0.

Accounts Receivable

  1. Error "The Cash Receipts entry files are empty" no longer occurs when updating an A/R Cash Receipts batch where one deposit within the batch was transferred to a new batch.
  2. Running the Credit Card Settlement Report no longer returns a communication error.

Bill of Materials

  1. Enhancement made to allow for syncing of Misc Charge item fields that are changed to the bill detail tables.
  2. "Record <Part Number> is missing..." error no longer occurs when running the Bill of Materials Summarized Where–Used Report in Sage 100 Premium.

CRM

  1. Sage 100 Rebuild CRM no longer cuts off CRM Company Names more than 30 characters long.
  2. Added information to the "Cannot Synchronize Data with Sage CRM" message to help resolve the issue when no company records exist in Sage CRM.
  3. Quick Order Entry Component.exe is now being installed to the servers ..\mas90\CRM directory.
  4. Import into AR_Customer does create new CRM companies automatically.

Common Item

  1. In Direct Deposit Maintenance when an invalid routing/transit number is entered for the Immediate Destination a prompt now displays to accept the number.

Customizer

  1. PO Receipt Header UDF now updates PO Purchase Order Header UDF.

  1. Certain Web Services APIs no longer fail after upgrading to Sage Exchange Desktop (SED) 2.0.

Work Order Processing

  1. Error "The Warehouse Code is required" no longer occurs when entering a Completion transaction for a Special Item in Work Order.

Sage CRM 2018 R2 - New Features

We saw the first release (R1) of Sage CRM 2018 back in December. Now just a few months later, the second release (R2) is available and brings some great new features that we’ll take a closer look at in this article.

Sage CRM Calendar

Sage CRM 2018 R2 continues to build on what’s probably the heart of the application - the calendar. This release further extends the great enhancements in Version 2018 R1 with new filtering options in all calendar views. Action and Status filters can be added to Day, Work Week, Week and Month views and are retained for the session duration. In addition, the calendar now displays dates according to your personal settings in the Preferences area.

Product Vision and Strategy

One word that describes all current and future product development goals is modernization. That applies to modernizing not only the underlying technology, but to the user experience when it comes to things like ease of use, screen navigation, and the installation process. Sage 100 2017 Product Update 4 (5.40.4.0)

The following is a list of corrections and selected enhancements added to Sage 100 2017.4
For a full list of Enhancements, refer to the What's New page inside the Product.

Product updates are cumulative; in other words, this update includes all enhancements and program corrections found in prior updates for version 2017. Smart Update will install only the programs that have been updated since your last update was installed.

Sage 100 Advanced and Premium Workstation Synchronization automatically updates the client workstations.

If you use Sage 100 Standard over a network, run WKsUpdate Standard.exe on each workstation. This program is located in the ..\mas90\wksetup folder on the server where Sage 100 2017 Standard is installed. All Sage 100 updates must be installed on the server where Sage 100 is installed.


Accounts Payable

  1. Accounts Payable Adjusted Invoice no longer paid twice.

Accounts Receivable

  1. Error 20 AR_AgedInvoiceReport_rpt.pvc 386 is no longer occurred when previewing/printing the Accounts Receivable Aged Invoice Report.
  2. Correct amount for discounts allowed and A/R GL accounts posted to GL shown on Sales Journal Recap by Division when printing/updating.
  3. Fix Error: "<Customer Number> is in use by another user and can only be viewed" in Price Level by Customer Maintenance.
  4. Error 47 CI_CustomerFormatter.pvc 100 is no longer occurred when entering cash receipts for Cash customer.
  5. Schedule text is not displayed over Exemption No text on Sales Order Invoice Data Entry Header panel when Sales Tax Reporting is disabled.


Bar Code

  1. Invoices getting imported into Sage 100 through Bar Code were getting the correct Ship Date set from the Ship/Expire Date entered on the sales order.

Bill of Materials

  1. Costed Bill of Materials Report with Report Type Selection of Bills now ignores Integer Unit of Measure for Miscellaneous Charges.
  2. The Component Extended Description will now print on first and any additional Bill of Materials Picking Sheets.

CRM

  1. Sage 100 Rebuild CRM no longer cuts off CRM Company Names more that 30 characters long.
  2. Added information to the "Cannot Synchronize Data with Sage CRM" message to help resolve the issue when no company records exist in Sage CRM.
  3. Quick Order Entry Component.exe is now being installed to the servers ..\mas90\CRM directory.
  4. Memo button visible when accessing Customer Maintenance via Sage CRM.
  5. Launching Customer Maintenance and editing the customer immediately after linking a company to a customer no longer returns the message "Record has been changed by another user andthe changes will not be saved upon accept".
  6. Import into AR_Customer does create new CRM companies automatically.

Customizer

  1. Drop-Box UDF no longer loses Drop-Box Functionality when Panel is Modified.
  2. Required UDF is being enforced.

Fixed Assets

  1. Error: "Report output exceeds printer width or record length exceeded on file write operation" is now fixed.

Inventory Management

  1. There are no Unit Cost discrepancies for FIFO component item in BOM Production Entry and Disassembly.
  2. The Retail Price is not disabled anymore, if user moves to different tab and check or uncheck the Allow Returns check box.

Job Cost

  1. Last invoice from previous job are appearing on the Job Masterfile Maintenance on Billing History tab for new Job if same customer.

Library Master

  1. No "Restrict Accounting Date to Current and One Future Period" allows users to change posting date to more than one future period.
  2. The following message is showing when user ran the rebuild key files for the AP_Audit.M4T with the Integrity check option. No problems have been found during the Integrity test.
  3. Dates from secondary tables are now sorted correctly in Custom Lookups.
  4. Fixed the Error: "Unable to view" [name of report, register etc] Database Connector Error:[Database Vendor Code:9]".

Paperless Office

  1. On the fly "From" e-mail address is now used when Electronically Delivering Accounts Payable Check Remittance Advice. Note that the Electronic Delivery button has been moved from the check printing and stub printing screens. The Electronic Delivery for Forms screens now appears after the user says Yes to update the check register.
  2. Paperless Office output "Print/PDF for Print Delivery Option" is now available in Direct Deposit Stub Printing when "Deliver During Check Register Update" is not selected in Paperless Office Form Maintenance.
  3. Error message "The column is not part of the key" no longer occurs after installing 2017 TTU and selecting existing Journal and Register Maintenance for P/O Daily Transaction Register in Paperless Office for Sage 100.

Purchase Order

  1. The PO numbers are showing with the Alpha numeric after PO # 9 - Example - starts from 0000###, 9000### then A000### and no special characters are showing for PO Number after PO#9.
  2. Purchase Order Variance Register no longer only shows the First Invoice number.

Return Materials Authorization

  1. Option category now prints actual option description in RMA printing.

Sales Order

  1. Sales Order Entry and SO Invoice Data Entry Component items showed the correct qty ordered when "Kit" Bill is exploded due to masking.
  2. The 'Generate PO' button is hidden when 'Enable Purchase Order Generation During Sales Order Entry' is N.
  3. The Deposit Amt is showing as $0:00 for credit card and check, if user changed from Standard to Repeating order.
  4. AR Customer/Invoice Tab now shows a balance due for the invoice instead of 0.
  5. Quote Expire Date using Default Days Until Quote Expires from SO Options when Standard is selected as the default Sales Order Type in Default Values for Sales Order Entry .

System Setup

  1. Sage 100 Premium install no longer allows non-premium modules and demo data companies to be installed.

Visual Integrator

  1. Visual Integrator module, no longer allows importing records into Payroll Data Entry for Inactive or Terminated employees.

Perpetual License Pricing Change Coming in March 2018

While many software providers have moved solely to subscription-based licensing, Sage continues to offer both subscription and perpetual license options to customers. In order to accommodate the added cost of maintaining both options, Sage announced that they’ll be adjusting the price of Sage Business Care prices for Sage 100 perpetual licenses.

Beginning in March, Perpetual customers will see an annual increase of 20% on their renewal notification for any Sage Business Care plan renewing on or after March 1, 2018.

Sage states that pricing adjustments are determined based on an annual review across their entire solution portfolio which considers market conditions, the cost of doing business, added value delivered through major product releases, and various other factors. The price increase reflects the added personnel and resources required to support both subscription and perpetual license models.

Note: the increase does not affect Sage 100cloud subscription licenses which remain the same.

Sage CRM 2018 is now available. Enhancements in this newest version focus on continued calendar improvements, ease of use, and simplified navigation across the product. Let’s take a closer look.

Sage CRM 2018 Calendar

You may have noticed that enhancing Calendar functions has been a focus over the last couple of new releases and version 2018 continues that trend. Because the Calendar is at the heart of so many activities in Sage CRM, the following improvements are now available:

Task Quick Complete - Allows you to complete a task with a single click. Completed tasks are automatically removed from the screen when filtering by ‘Pending’.

Drag and Drop Calendar Appointments - Appointments can be moved by dragging and dropping it to a new time in the Day, Week, Work Week and Month views.

Sage 100c Name Change

Just when you thought you had the different product names figured out, we learned that Sage will be changing the name of Sage 100c. Effective in March 2018, Sage 100c will be renamed to Sage 100cloud.

It’s primarily a marketing change designed to align Sage 100c with other cloud-focused products and services. However, there’s no new licensing or features to become familiar with. Same product, different name.

Sage Sessions Live Events Coming to a City Near You

Earlier this year, Sage announced that in lieu of hosting a big annual Sage Summit event like we’ve seen in years past, the company has decided to take the show on the road and get closer to customers on their home turf.

The newly-formatted “Sage Sessions” tour is comprised of a series of live regional events throughout the U.S. and Canada. Similar to Sage Summit but more compact, Sage Sessions is a single-day event featuring a keynote, breakout sessions, product demos, and a lunch & mingle reception that provides networking opportunities. Each stop will also feature a scaled-down trade show and opportunities to speak with product experts from Sage and third parties.

A long time in the making, Sage 100 Payroll 2.0. (aka “Payroll 2018”) is the next-generation payroll module that has been modernized to improve performance and user experience. Since it represents a significant change, we wanted to introduce you to a few how-to videos that should help you with a smooth transition from the legacy payroll module.

4 Tips for a Successful Year End

Here are just a few tips to keep in mind as you begin year end processing in Sage 100.
  1. General Ledger Closing ‐ While it’s a good idea to close modules in a timely fashion, the General Ledger can remain open for as long as you need while awaiting final processing (or audit adjustments) in other Modules. A GL that’s still open for 2017 will NOT prevent you from entering transactions for the new year.

  2. Payroll Planning ‐ Even if your company is on a fiscal year, you’ll need to close out payroll at the end of the calendar year. All W‐2’s and quarterly reports must be printed before payroll is closed in order to process the first payroll for 2018.

    NOTE: This does NOT apply to the new Payroll 2.0 which now allows two calendar years to be open so you don't have to run year‐end tax reports and W‐2's before processing payroll for 2018.

  3. Check Your Version Number ‐ Closing procedures can vary depending on which version of Sage 100 you’re currently running.  For Version 4.0 or above, do the following to identify both your version number and service pack:

  4. Master Console ‐ Once you’re ready to close, you need to make sure all users are out of the system. That’s where the Master Console comes in handy. This utility provides a snapshot of all users currently logged into Sage 100, the workstation being used, what programs/tasks they’re using, and more. You can also broadcast a message to all users or even shut them down remotely.

    To launch the Master Console:

INTRODUCING SAGE 100 2018

Sage 100 and 100c Version 2018 are now available. This newest version includes enhancements for Job Cost, warehouse management, bar coding, and a roll-out of the long-anticipated Payroll 2.0. Let’s take a closer look.

Note: Some of the features covered in this article are for Sage 100c only

Job Cost and Payroll 2.0

With Sage 100 2018, both the Job Cost and Payroll modules have been totally redesigned and modernized to improve performance and usability. In both modules, many tasks have been reorganized to provide a better workflow and more efficient data entry. In particular, the following interface enhancements have been applied:

  • Data entry grids have been implemented to improve efficiency
  • Selection grids are available on most report task windows and elsewhere
  • Calculator buttons have been added to dollar amount fields
  • Calendar buttons have been added to date fields
  • Hyperlinks to related tasks have been added where applicable

Note: As a result of the extensive improvements to Payroll, the TimeCard module is not currently compatible with Payroll 2.0. However, a compatible version of TimeCard will be released in a product update during the first half of 2018.

Sage 100 2017 Product Update 3 (5.40.3.0)

The following is a list of enhancements and corrections added to Sage 100 2017.3

Product updates are cumulative; in other words, this update includes all enhancements and program corrections found in prior updates for version 2017. Smart Update will install only the programs that have been updated since your last update was installed.

Sage 100 Advanced and Premium Workstation Synchronization automatically updates the client workstations.

If you use Sage 100 Standard over a network, run WKsUpdate Standard.exe on each workstation. This program is located in the ..\mas90\wksetup folder on the server where Sage 100 2017 Standard is installed. All Sage 100 updates must be installed on the server where Sage 100 is installed.


Accounts Payable

  1. Error 26 SY_ReportUI.pvc 1453 no longer occurs when printing Accounts Payable checks and using a semicolon in the check or the stub message.
  2. A not-on-file vendor is no longer being created during Accounts Payable Invoice Data Entry when entering multiple invoices for the same vendor without existing Invoice Data Entry.
  3. Error 84, AP_DeletedChangeVendors_ui.pvc 2690 no longer appears when running the Delete and Change Vendors utility when backorder or completed purchase orders exist for the vendor.

Accounts Receivable

  1. AR_SalespersonCommissionWrk UDF is now being updated by AR_SalespersonCommission LinkUpdated field when running AR Salesperson Commission Report.
  2. Customer Listing now prints only inactive employees when Customers to Print option is set to Inactive Only.
  3. The message "Salesperson is not in division ##. The default salesperson ##- for customer ##-xxx will be used" pops up when trying to adjust Finance Charge invoices in Accounts Receivable Invoice Data Entry.
  4. Statement for customers with zero balances now only print when there is activity in current month when selecting to Include Zero Balance Customers and Zero Balance Invoices 'Current Month Only'. Previously, all customers with zero balance were printing regardless of current month activity.
  5. Customer Statement printed from Customer Maintenance now keeps the Customer Number in the selection grid when changing form code.

Bill of Materials

  1. Costed Bill of Materials Report, for Selection of Bills, is now excludes the cost of the level defined.

CRM

  1. Error 1 SO_SalesOrder_Bus.pvc 1612" no longer occurs when creating a Order or Quote in Sage CRM when integrated with Sage 100 and entering a comment over 1175 characters. CU_OrderQuoteDetail.M4T cannot contain over 1000 characters.

Customizer

  1. Default value is now being saved in User-Defined Field and Table Maintenance when Maximum Length is set to 1 and Control Type is either Drop-Box or List-Box.

e-Business Manager

  1. "An error occurred while attempting to process the page you requested." is no longer being returned when viewing a shopping cart with an Advanced Setting for IT_ShoppingCartHeader

Fixed Assets

  1. Deleted assets no longer show on the posting exception report when running period end processing in Sage 100.

Inventory Management

  1. In Sales Order Entry and Invoice Data Entry, item auto-complete no longer only lists miscellaneous items after accessing a customized Customer Maintenance from within Sales Order Entry or Invoice Data Entry.
  2. The 'On PO' quantity is now updated when a Purchase Order is created if Item Maintenance Reorder window is open.
  3. Warehouse description is no longer missing from Quantity Transaction History during drill down.
  4. The Inventory Sales History Report now prints when using selection criteria containing %Decrease Qty Sold Prior or %Increase Qty Sold Prior.

Library Master

  1. Error: "The save/update credit card information to Customer credit card is required." is no longer occurs when trying Make changes to a Repetitive Invoice that was upgraded from 4.50 and older.
  2. Error 60 SY_Gridhandler.pvc 1219 is no longer occurs when sorting more than 1 column on both Checks and Dep/Adjust in Reconcile Bank on Sage 100 Standard.
  3. Task scheduler is no longer ignoring company parameters as defined - Executes for company Key 1.
  4. Error:\"(Tax Code) is not numeric\" no longer occurs when selecting YES to “Do you want to change the existing sales tax schedule”. When changing a customer's zip code, the Tax Schedule updates based on ZIP XRef set up.

Payroll

  1. Renumbering employees mid-month and using both employee #s in tax calculation in the same month is no longer causes tier count exceeded issues.
  2. Direct Deposit Sync error no longer occurs when a random unprintable character exists in the payload - inflating (rc = -5) error in reverb.
  3. When Payroll has expired or is no longer part of the key, CI_eFilingHistory.m4p can be run from SYZCON in order to access Federal and State eFiliing forms from history.

Purchase Order

  1. "+1.42" is no longer appended to various descriptions in the Purchase Order Entry grid when scrolling from a Master or Repeating Order.

Return Materials Authorization

  1. Error 65 SY_OpenObject.pvc 95" is no longer occurs when generating documents for a RMA subsequent to partially receiving the same RMA.
  2. Deleting a batch in RMA Receipt Entry now removes the record from RA_ReceiptTierDistribution.
  3. Credit memos generated from RMA now correctly debit the Inventory G/L Account from Miscellaneous Item Maintenance. Previously, credit memos generated from RMA both debited and credited the Cost of Goods G/L Account from Miscellaneous Item Maintenance.

Sales Order

  1. In Sales Order Entry and Invoice Data Entry, auto complete now returns the same list of items when adding lines after using the Customer No. hyperlink to open Customer Maintenance, when Customer Maintenance has been customized.
  2. Pay Balance box is now available for selection in Sales Order Invoice Data Entry when a deposit is processed in Sales Order Entry.
  3. When using Sales Order Defaults the Ship date is based on options for default days until quote expires.
  4. In Shipping Data Entry, when entering a shipped quantity and clicking the Next Package No. or Item Packaging buttons, the row is now saved.
  5. In a new quote, Print Pick Sheets box is now checked when the Default setting is checked for Print Pick Sheets.

Visual Integrator

  1. When running Visual Integrator Export using AR_CashReceiptsDetail as primary table and exporting data from AR_CashReceiptsHeader as well, data is now exported from both tables. Previously, only data from AR_CashReceiptsDetail was being exported.
  2. Warehouse Type is now corrected after importing causing issues with MRP report.

Sage 100 2018 Product Update 1 (6.00.1.0)

The following is a list of corrections and selected enhancements added to Sage 100 2018.1
For a full list of Enhancements, refer to the What's New page inside the Product.

Product updates are cumulative; in other words, this update includes all enhancements and program corrections found in prior updates for version 2018. Smart Update will install only the programs that have been updated since your last update was installed.

Workstation Synchronization has been enhanced to update Sage 100 Standard Workstations along with Sage 100 Advanced and Premium Workstations. Sage 100 Standard Users are no longer required to run WksUpdate Standard.exe on each Sage 100 Standard Workstation. 

All Sage 100 updates must be installed on the server where Sage 100 is installed.


Accounts Payable

  1. AP invoice entry - Get 'The Vendor Number is no longer required' message when launching vendor maintenance from hyperlink and the vendor number isn't blank.

Accounts Receivable

  1. Wrong amount for discounts are not allowed and AR GL accounts posted to GL shown on Sales Journal Recap by Division when printing/updating.

Bill of Materials

  1. Costed Bill of Materials Report run for Selection of Bills is now ignoring Integer Unit of Measure for Miscellaneous Charges.
  2. Component Item Extended description now shows in the picking sheet print out when you pick more than one bill item to print.

CRM

  1. New Sales Order Quote in Sage 100 no longer blanks out Order Type when CRM OTF Order opportunity is chosen.
  2. When Launching Customer Maintenance and editing the customer immediately after linking a company to a customer, the message "Record has been changed by another user and the changes will not be saved upon accept" no longer occurs.
  3. The Memo button is now visible when accessing Customer Maintenance from Sage CRM.

Inventory Management

  1. Unit Cost discrepancies have been corrected for FIFO component items in BOM Production Entry and Disassembly, after removing zero quantity tiers.
  2. Corrected Inventory Transaction update to prompt to print "Daily Transaction Register" instead of "Job Daily Transaction Register".
  3. Retail Price is no longer disabled after clicking on the Additional Tab in Item Maintenance when Allow Returns is deselected.

Job Cost

  1. Added validation in Cost Types to not allow special characters. Increased size of Valid Cost Type field to 36 characters.
  2. PO Receipt Register and PO Return Register update hangs when there are multiple lines which include Job Cost detail.

Library Master

  1. An Error: "11 SWQMAO 1535" no longer occurs when modifying a lookup for a User Defined Table.
  2. Restrict Accounting Date to Current and One Future Period" no longer allows users to change posting date to more than one future period.
  3. Workstation Synchronization has been enhanced to update Sage 100 Standard Workstations.

Paperless Office

  1. Paperless Office output "Print/PDF for Print Delivery Option" is now available in Direct Deposit Stub Printing when "Deliver During Check Register Update" is not selected in Paperless Office Form Maintenance.

Purchase Order

  1. Purchase Order History records are no longer removed when purging obsolete purchase orders.
  2. The Purchase Order Variance Register no longer only shows the First Invoice number in the Last Invoice Number field when there are 2 Receipt of Invoices posted in the same update after 1 complete Receipt of Goods.

Return Materials Authorization

  1. Option category now prints the actual option description in RMA printing.
  2. RMA Return Reason Report is printing the serial number for item whose Product Line default           Valuation is not Serial.

Sales Order

  1. Balance is not due on invoice paid by credit card that are manually processed, non integrated credit card transactions.
  2. In Sales Order Entry or SO Invoice Data Entry, if a "Kit" Bill is exploded and the component's Ordered quantity exceeds 9,999,999.####, it no longer zeroes out the quantity when the quantity has not exceeded the mask.
  3. The "Promoted to Order On" field is no longer populated with a date for Back Ordered type Sales Orders, when a Standard Order is partially shipped and a Back Order is created.
  4. Tax Detail, Taxable Freight, and the Taxable Amount fields are now correct in SO invoice when created in Shipping Data Entry, and when changing the Ship Via and not refreshing the shipping tab

Visual Integrator

  1. PR_PayrollHeader import job Perform Logic is not duplicated when creating a new PR_PayrollHeader import and select to copy from an existing Import job.
  2. Error 41 VI_ImportJobCompile.pvc 1140 is no longer occurs when clicking Accept in Import Job Maintenance if Skip Record is defined in records tab in Sage 100 2018.

Sage Software Releases Multi-Bin Basic for Sage 100c

Are you looking for Multi-Bin with Sage 100? After years of waiting, a big announcement has been made related to Sage 100 and Multi-Bin.
In a recent email, Sage announced Multi-Bin Basic for Sage 100c. This Basic version of DSD's (3rd party developer) Multi-Bin enhancement is being released with the Subscription version of Sage 100 (Sage 100c). What makes this even better is that Scanforce (warehouse management developer) announced their EXCLUSIVE arrangement with Sage and their integration to the Basic Multi-Bin. Sage 100 Tax Table Update Q3 2016

Sage has released the 3rd Quarter Payroll Update for Sage 100 ERP as of July 8, 2016.  This release is available to all Sage 100 ERP customers that are current on Sage Business Care.  The update is available for Versions 2014,2015 and 2016.  

Payroll Tax Table Update Levels 2014, 2015 and 2016

What's new:  Included in this 2016Q3 tax table update; are changes to the Idaho withholding tax tables and an increase to the dependent exemption. Note: If you do not process payroll for employees who live or work in Idaho, you do not need to install the revised Tax Table Update

To download the TTU (Tax Table Update): 
  1. Verify that all users have exited and that all sessions are closed.
  2. Log on to the Sage Customer Portal by entering your name and password* (you must be logged in or you cannot access the Tax Table Updates).
  3. Select the Sage 100 ERP iconDownload Now
  4. Click Run. Extract the file to your local workstation. Note the location.
  5. Go to the location noted, and open Sage 100 Tax Table Update 2016Q3 folder.
  6. Double-click the file named Sage 100 Tax Table Update 2016Q1.exe.
  7. Click Run.
  8. Click Next at the Welcome to the Install Shield Wizard for Tax Table Update screen.

Business Insights Reporter Wizard shows no Templates

Sage 100 has a tool called Business Insights Reporter. It that can be found by going to Modules | Business Insights | Reporterin Sage 100. This tool has a step by step Wizard to walk you through creating reports. If there is no existing reports to list, the Wizard will start automatically. Otherwise, you would see a list of existing reports and a button in the bottom left to create a new report using the Wizard.

The Wizard is great for quickly creating a report using a template and views, which are multiple tables linked together for speed and ease of use. The Business Insights Reporter Wizard walks you through the process of creating the report and place it on the custom reports folder for the module you wish to have the report run from.

Sage has released the 1st Quarter Payroll Update for Sage 100 ERP.  This release is available to all Sage 100 ERP customers that are current on Sage Business Care.  The update is available for Versions 2013,2014 and 2015

To download the TTU (Tax Table Update): 
  1. Verify that all users have exited and that all sessions are closed.
  2. Log on to the Sage Customer Portal by entering your name and password* (you must be logged in or you cannot access the Tax Table Updates).
  3. Select the Sage 100 ERP iconDownload Now
  4. Click Run. Extract the file to your local workstation. Note the location.
  5. Go to the location noted, and open Sage 100 Tax Table Update 2016Q1 folder.
  6. Double-click the file named Sage 100 Tax Table Update 2016Q1.exe.
  7. Click Run.
  8. Click Next at the Welcome to the Install Shield Wizard for Tax Table Update screen.


  9. Click I Accept to accept the Licensing Agreement.

Happy New Year! Year End Processing Tips for 2015

Overview of Year End Processing


At a high level, these are the steps to consider as you begin closing the books on 2015 and start fresh in the new year.

1. Backup Your Data

Executing a complete backup of your database is one of the most important things you can do before starting any closing process. You should also test the backup to ensure it was performed successfully and the data is readable.

If you make a mistake, the only way to “reverse” year end processing is to restore data from a backup.

Year End Checklists for Sage 100

Here are year end closing checklists for General Ledger, Accounts Receivable and Accounts Payable to help ensure that all tasks are processed and in the proper order.

Note:these modules all begin with the following 2 steps:

1. Backup your AR/AP/GL files and label them as “prior” to Year End processing.
2. Make sure the AR/AP/GL system date is set to the last day of your fiscal year.

Module Closing - Keeping Things in Order

A year end process in one module often writes data to another module. Therefore, the sequence in which you close your Sage 100 (formerly “MAS 90” or “MAS 200”) modules is extremely important in order to avoid the risk of damaging your data.

Important: Remember to back up your data before starting any module closing procedures. The only way to “reverse” year end processing in Sage 100 is to restore your data from a backup.

2015 Year End Updates

Sage 100– 2015 Year End Interim Release Download (IRD) Read Me Notes:

Important Reminder As of Tax Filing Year 2015, in order to print or electronically file 1099 forms, you will need to use the following menu tasks:

                         o       1099 (MISC, DIV & INT) forms: Accounts Payable > Reports > Form 1099 eFiling and Reporting

TIP! A user guide on how to process 1099 forms can be downloaded from the Sage Support Portal at https://Support.NA.Sage.com. Once logged into portal, in the Search field type 53295 and click Search button.Please make sure the appropriate person who processes 1099 forms in your company is aware of this important change.


You must install the 2015 IRD on the server to the...\MAS90 directory and you must also install the year end eFiling (Aatrix) update before processing 1099s for tax filing year 2015.

The year end eFiling update will be released on Friday, December 18th. The eFiling update is installed separately on each workstation that has State/Federal eFiling & Reporting installed. When you access any one of the eFiling and Reporting tasks, you will be prompted to install an “Automatic Update”; this will update all applicable form changes. It does not matter which update is installed first, just as long as both updates have been installed before processing 1099s for 2015. For more information, see knowledgebase article How to install, activate, update and uninstall Federal and State eFiling and Reporting (KB ID 18851)

The following are the required minimum Sage 100 versions. If you are not at least on one of the minimum versions below, you must add the required product update (PU) to get to the minimum before installing the 2015 IRD.

• 2013 PU 9
• 2014 PU 7
• 2015 PU 3

ACCOUNTS PAYABLE:

The 2015 IRD contains the following enhancements for Accounts Payable:

IMPORTANT TAX INFORMATION: 1099 Form changes were required for the tax year 2015 and have been incorporated in this update. Maintenance, data entry, as well as certain reports and Form 1099 eFiling and Reporting have been modified to adhere to the 2015 1099 Miscellaneous, Dividend, and Interest forms as published by the IRS for the tax year 2015 filings.

• Once the 2015 IRD is installed, the new 2015 boxes will be available for all companies in the installation. The following changes have been made to accommodate the correct placement of the following information:

1099-INT:
o Box 12 is now blank
o Box 13 is now Bond premium on tax exempt bond
o Box 14 is now Tax-exempt and tax credit bond CUSIP no.
o Box 15 is now State
o Box 16 is State identification no.
o Box 17 is State tax withheld

1099-MISC:
o No form changes were required

1099-DIV:
o No form changes were required

Note: If these boxes were previously created (in the SY_1099Setup file) using the SY_1099Maint_UI utility, this IRD will overwrite those records in SY_1099Setup, but will not affect any paid-to-date dollar amounts already stored for the tax year 2015 in the data file AP_1099VendorPayments. Note if the new boxes were manually created using the utility, prior to installing the 2015 IRD, the user should use the SY_1099Maint_UI utility to verify that the boxes were created correctly as a text or non-text field (Text Field) in the Form 1099 Box Maintenance window, and make corrections as necessary.

• Form 1099 eFiling and Reporting version has been updated to 2.57

Sage 100 2015 Product Update 3 (5.20.3.0)

Sage has released the third product update for Sage 100 version 2015 (5.20.3.0) on 12/09/2015. The following is a list of enhancements and corrections that have been incorporated for Sage 100 2015 in this Product Update. Product Updates are cumulative, comprised of all enhancements and program corrections found in prior updates. Smart Update will install only the programs that need to be updated since your last Product Update Installation.

This Product Update also contains enhancements and program corrections introduced in 5.10.7.0, included in this report for reference.

Sage 100 ERP Advanced and Premium Workstation Synchronization now updates the client workstation automatically. This replaces the need to run WKsUpdate.exe after installing a product update. Users running Sage 100 Standard over a network will still need to run WKsUpdate Standard.exe on each workstation. This program is located in the ..\mas90\wksetup directory on the Sage 100 2015 Standard Server.

All Sage 100 Product Updates require the installation to be from the Sage 100 Server.

Product Updates are cumulative, containing all program corrections found in prior updates. Product Updates through 4.50.6.0 also contains program corrections that were introduced in 4.40.0.7 - 4.40.0.10. The numbering scheme has been changed for 4.50 Product Updates. The third segment represents the Product Update number. This change was done to accommodate future enhancements.

After installing this Product Update, WKsUpdate 90.exe or WKsUpdate 200.exe needs to be run on each MAS Workstation. This file is located in the ..\mas90\WkSetup directory on the MAS Server. (WKsUpdate should also be run anytime WkSetup.exe is run on a MAS Workstation.)

This letter serves to notify you of a currency exchange rate adjustment that Sage Fixed Assets plans to apply on August 1, 2015. The increase in the exchange rate of the Canadian dollar against the U.S. dollar has necessitated this adjustment.

Starting August 1, 2015, we will use an exchange rate of 1 U.S. dollar = 1.27 Canadian dollar. The exchange rate will be fixed for a period of one year and readjusted, up or down, based on the exchange rate a year from now.

Sage has released the first product update for version 2015 (5.20.1.0) on 4/07/15.

An updated "eBusiness Web Services.exe" is being installed to the Sage 100 ERP 2015 Server's
..\MAS90\WS folder to correct the following issue:  "UnitPrice is no longer being reset in Sales Order Detail when previewing orders with eBusiness Web Services." Existing eBusiness Web Services users should update their existing installation by uninstalling the existing eBusiness Web Services and installing the updated version . Action needed for 2015 Affordable Care Act

Sage announced in their Sage Channel News for November 2014 an Important announcement related to Affordable Care Act (ACA).

For each Sage 100 ERP company, it is important that the "Retain Perpetual History" option is activated in order to meet 2015 Affordable Care Act (ACA) reporting requirements. This feature ensures that customers will be collecting the proper data as they process their first payroll in 2015.

The Retain Perpetual History option is found in Payroll Setup Options, screen shot below. Additional details will be provided in early December.

Easier to Install, Access, and Use

To make installation and access even easier, Sage Intelligence now installs automatically with the Sage 100 ERP workstation setup (previously a separate step). Plus, Sage Intelligence can now be launched directly from the Sage 100 ERP Module Menus toolbar and the Tasks tab.

The updated version of Sage 100 ERP Intelligence Reporting is compatible with both 32-bit and 64-bit versions of Microsoft Excel® 2007, 2010, and 2013. Sage Intelligence is even easier to use

Sage 100 ERP 2013 Product Update 5 (5.00.5.0)

Sage released on 03/28/2014 the fifth product update for version 2013 (5.00.5.0). The following is a list of enhancements and corrections that have been incorporated for Sage 100 ERP
2013 in this Product Update. Product Updates are cumulative, comprised of all program corrections found in prior updates. Smart Update will install only the programs that need to be updated since your last Product Update Installation. If you choose to install this Product Update on a system that already has Product Update 5 installed, all programs released in Product Updates 1 through 5 will be reinstalled.

This Product Update also contains program corrections introduced in 4.50.5.0 through 4.50.7.0, included for reference.

This program is located in the ..\mas90\wksetup directory on the Sage 100 ERP Standard Server. 

A 64-bit ODBC Driver Installer for Sage 100 ERP 2013 can be found in the ..\mas90\wksetup directory on the Sage 100 ERP 2013 Server. Run the SageODBC64Installer.exe from each Sage 100 ERP Workstation where 64 bit access is desired.

All Sage 100 ERP 2013 Product Updates will require the installation to be from the Sage 100 ERP Server. Significant enhancements have been introduced in Sage 100 ERP 2013 and its Updates. These include: Smart Update, Workstation Synchronization and Sage Auto Update. Part of these enhancements requires the Product Update to make changes to the local registry, necessitating a server side installation. This Product Update can be installed from the Sage 100 ERP 2013 Server either physically at the console or by connecting to it through Remote Desktop.

This upgrade is part of our ongoing effort to provide you the most modern, robust and secure processing systems and solutions available. The Automatic Settlement Process will not run during this period, but will re-commence once systems are resumed.

Business is becoming increasingly mobile. People are using their phones and tablets to access reports, process orders, communicate with customers, and get work done in the office or on the road. So here's a look at getting started with the mobile functionality offered in Sage CRM.

Sage CRM Mobile Web

Sage CRM Mobile Web is a full-featured version of Sage CRM that you access online through your browser, tablet or Smartphone. Offering functionality similar to the desktop version, Sage CRM Mobile Web must be "turned on" by setting the Mobile Device Access option to "True" under the User Details > Security tab.

Once the functionality is turned on, you can also save time accessing Sage CRM Mobile Web by adding a bookmark/icon to your mobile device home screen. Simply navigate to the URL provided by your System Administrator and then click the Add to Home Screen icon.

The End is Near for XP

Yes, 2013 is almost over, but that's not what we mean. The end is near for Windows XP! Yes, that old friend that's been with all of us for almost 14 years (yes, we said 14 years) is finally taking a well-deserved retirement in April of this coming year. Don't panic, though. This doesn't mean that XP will suddenly stop working in April. It just means that Microsoft will stop supporting it in terms of technical support, patches and fixes. You will be able to keep using XP on your existing computers past April, but there will no longer be any program or security fixes or patches after that point. This is an area of great concern and a risk that will grow as more time passes past the retirement party. You may (or may not) notice how many updates are still installed each week on your Windows XP computers, each one of which is addressing a functional or security issue Microsoft has identified and fixed.

So, what are you to do?

Contact MBA about getting a plan in place to retire those old XP friends and bring in some young blood. Preferred pricing will be available to those get an agreement in place to upgrade all remaining XP workstations in their organization. Not only will you have newer, well supported computers, but the productivity increase should be a boon for business.

Just imagine, no more complaints about how slow the computer is and no more "Oh, I go and get a cup of coffee while it's working on that!"

2013 Year End Updates

Updates for Year end and payroll tax table updates are being released this month. Customers who have the Sage 100 ERP Accounts Payable, Payroll, or Electronic Reporting modules will have updates available to download the week of December 20th, 2013.

  • The Sage 100 ERP 2013 IRD will be needed to update the W-2 and 1099 forms, eFiling, Reporting and the Electronic Reporting module for 2013.
  • Tax Table Update (TTU) will be needed to update the Federal and some states for the Tax Filing Year 2014. This will be in the Sage 100 ERP 2014-Q1 TTU.

Both of these updates will be available for Sage 100 ERP versions 4.40, 4.50, and 2013. More information can be found below in the 2013 Year End Frequently Asked Questions (FAQs).

Shortcut to run VI Jobs

VI or Visual Integrator is Sage 100's tool for importing and exporting data from the system. Once jobs are created, they can be run from within Sage 100. What if you need to run VI outside of Sage 100 ERP and want to schedule it and run on a nightly basis? Here is how you would create a shortcut to run the VI Job.

First step would be to create a user and set permissions. It is best to create a specific user for your VI Jobs.

Sage 100 ERP 2013 Product Update 2 (5.00.2.0)

Sage released on 3/26/2013 the second product update for version 2013 (5.00.2.0). Product update 6 for version 4.5 was also release at this same time. Product Updates are cumulative, comprised of all program corrections found in prior updates. Smart Update will install only the programs that need to be updated since your last Product Update Installation. If you choose to install this Product Update on a system that already has Product Update 2 installed, all programs released in Product Updates 1 and 2 will be reinstalled.

Sage 100 ERP Advanced and Premium Smart Update now updates the client workstation automatically. This replaces the need to run WKsUpdate.exe after installing a product update. Users running Sage 100 ERP Standard over a network will still need to run WKsUpdate Standard.exe on each workstation. This program is located in the ..\mas90\wksetup directory on the Sage 100 ERP Standard Server. 

For Users who have also installed Sage 100 ERP 2013 CRM, beginning with Product Update 1, a Quick Order Entry Component Update.exe is installed to the ..\mas90\RWC directory. Users will need to copy and execute this file on the Sage 100 ERP 2013 CRM server if they have not already done so.

All Sage 100 ERP 2013 Product Updates will require the installation to be from the Sage 100 ERP Server. Significant enhancements have been introduced in Sage 100 ERP 2013 and its Updates. These include: Smart Update, Workstation Synchronization and Sage Auto Update. Part of these enhancements requires the Product Update to make changes to the local registry, necessitating a server side installation. This Product Update can be installed from the Sage 100 ERP 2013 Server either physically at the

Sage released on 12/14/2012 the first product update for version 2013 (5.00.1.0). This release was the day after the 4.5.5.0 product update and is mostly product fixes that were fixed in 4.5 and also needed to be fixed in the 2013 version. Product Updates are cumulative, comprised of all program corrections found in prior updates.

Sage 100 ERP Smart Updates now update the client workstation automatically. This replaces the need to run WKsUpdate.exe after installing a product update.

Sage 100 ERP Version 2013 Released

Sage announced the release of Sage 100 ERP 2013 on December 17th 2012. This release is available to all current Sage Business Care customers. Sage 100 ERP 2013 includes customer–requested enhancements, new cloud services, and add–on solutions. When you upgrade, you'll get usability enhancements with Visual Process Flows, more flexibility for Credit Card Processing using Sage Exchange, improved visibility into the availability of Product Updates, and more. Sage 100 ERP 2013 includes feature and functionality enhancements across your system in Accounts Payable, Accounts Receivable, Bank Reconciliation, Inventory Management, Paperless Office, Sage CRM, Intelligence Reporting, and Credit Card Processing through Sage Exchange.

Sage 100 ERP Product Update 5 (4.50.5.0)

Sage has released on 12/13/2012 product update 5 for Sage 100 Version 4.5 (4.50.5.0). This release was done around the same time that the newest version of Sage 100 was released (Sage 100 ERP Version 2013). Product update 5 is available for download from Sage's website for those customers current on their subscription. Installation of this product update is included for those sage subscription customers that are also on MBA Business Software's Support Account Preferred. Look into the Future - Sage Summit 2012

Sage Summit 2012 has wrapped up and everyone has gone home. There were lots to see and new features and functions being announced. One of the big buzzwords that were going around at Summit was Cloud Hybrid. What is Cloud Hybrid? It is an integration with Windows Azure. Windows Azure allows for sage to link on premise data with in the cloud data and provide a common interface to other applications across all their product lines. This shows in a video that Sage did called "Business. Anywhere. Anytime. Made possible by Sage." What they are showing is a iPad interface to a sage product going through Windows Azure. While at Summit, I got a chance to play with an iPad that had this running on it. It was neat to be able to access my real time data. 

MAS has encountered a problem

Don't you just love it when you get a generic error message saying your system encountered a problem and needs to close. We recently ran into such an error. The image below is what it looked like. It would appear a few seconds after logging into Sage 100.

At least they were polite and told us that they were sorry for the inconvenience but it would have been nice if they would have told me why the error happened. This error would show every time the user would log into Sage 100. The user would click close and continue to work in the system without any noticeable issues.

This all happened after installing a service update for version 4.4. It was hard to troubleshoot the since there were no errors in the log stating that this happened or why it happened. No error number or debug information.

Important Changes to Sage ERP MAS 90 and 200 Credit Card Processing powered by PC Charge

As announced in the current Product Roadmap posted on the Partner File Center, Sage ERP MAS 90 and 200 5.0 will contain a new integration with Sage Exchange. Sage Payment Solutions created this powerful integration tool to streamline credit card processing across the entire Sage product portfolio. As part of this implementation, credit card numbers will no longer be stored within Sage ERP MAS 90 and 200. Instead they will be stored in the Sage Exchange Vault.

With the introduction of Sage Exchange in Version 5.0, the integration to PC Charge Payment Server will no longer function because it requires that credit card numbers be stored within the ERP system. Sage Payment Solutions will be the only supported credit card processor for the Sage ERP MAS 90 and 200 product line.

Updated Sage ERP MAS 90 and 200 Roadmap

An updated Sage ERP MAS 90 and 200 Roadmap is now available to provide you with an overview of 4.5, the first 4.5 product update, SageCRM 7.1, Sage ERP MAS Intelligence, and Sage ERP MAS 90 Online, along with highlights of planned future enhancements beyond the 4.5 release. Development on 5.0 is well underway as well as the first 4.5 product update. Product Update 1 for 4.5 is currently targeted to be available the end of October, around the same time that Sage ERP MAS 90 and 200 customers will begin receiving their Auto-Delivery package with information on how to download their copy of 4.5. Encourage customers to start scheduling their upgrades using the tremendous value packed in this exciting release. 4.5 includes a FREE user and server license of SageCRM 7.1, new reporting tree features, and the ability to move to Sage ERP MAS 200 SQL, in additional to all the enhancements in Sales Order, Payroll, Accounts Receivable, and Purchase Order. 4.5 also introduces the ability to conveniently download 4.5 whenever you and your customers are ready to start their upgrade. Many older releases retired September 30, 2011, and the Supported Versions document has been updated to reflect both the recent 4.5 and 7.4 releases as well as the retirements.

Sage MAS 90 and 200 ERP Product Update 6 (4.40.0.06)

Sage released Product Update 6 (PU6) yesterday for Sage MAS 90 and 200 version 4.4. It is available for download from Sage Online. This update is a bug fix release. There are no new features with this release.

When installing Service Packs:

  • Install service update from the same computer that was used to install Sage MAS 90 or 200.
  • Be sure to apply this service update before data conversion.

Now available is Product Update (PU) 5 for Sage ERP MAS 90 and 200 released from sage on March 28th 2011. This is the fifth Sage ERP MAS 90 and 200 4.4 Product Update and is available for download from Sage Online. This update delivers new core features and functionality enhancements in Accounts Payable, Inventory Management, and Library Master as an additional on-plan benefit. Print Your Own Check

Ever look at how much you are paying for the boxes of check stock?

We find that a lot of customers have multiple boxes of check stock for each bank account they print checks for in Sage ERP MAS 90 and Sage ERP MAS 200. Usually there are long lead times to get pre printed check stock and the cost can be very expensive compared to plain check stock. An average customer may pay $84.00 for 250 checks pre-printed in a single color. For the same price of 250 pre-printed checks, that same customer can get 1000 blank checks. How can you do this at your company?

It is easy to setup printing in Sage MAS 90 and 200 for blank check stock. Just a few things are needed:

  1. A printer that has the ability to purchase Micr Toner
  2. Micr Toner
  3. Micr Font from ADOBE
  4. Blank Check Stock

Sage Product Reirement Schedule

Sage is encouraging all customers to be current on their software. Being current helps companies to utilize the current operating systems like Microsoft Windows 7 and Microsoft Server 2008. Current software will have updates and bug fixes available to customers on subscription. Updates and bug fixes keep customers from losing productivity by not forcing them to create workarounds and troubleshoot issues that are already fixed in the update.  Sage's plan is to provide customers with plenty of notice to ensure that customers continue to run their business on a supported version and get the most value from their investment.

Sage Discontinues Sale of StarShip Products

Sage announced that as of March 31, 2011, that they will no longer sell V-Technologies' StarShip Parcel and StarShip Freight products for Sage ERP MAS 90 and 200, Sage ERP MAS 500, Sage BusinessWorks Accounting, or Sage PFW ERP. This does not mean that you have to change to a different product, if you are currently using StarShip. All this is saying is that Sagewill no longer Sell the product as a Endorsed Solution. Sage will not continue to develop the link and support of the StarShip Link will discontinue over time.

Sage will continue to support the StarShip Link (developed by Sage) for on-plan customers who are on currently supported versions of Sage ERP MAS 90 and 200, and StarShip Parcel version 10.1.1 and earlier (per the Sage ERP MAS 90 and 200 Supported Versions document).

Sage MAS 90 and 200 ERP Product Update 4 (4.40.0.04)

Now available is Product Update (PU) 4 for Sage ERP MAS 90 and 200 released from sage on December 27th 2010. This is the fourth Sage ERP MAS 90 and 200 4.4 Product Update and is available for download from Sage Online. This update focuses on year-end changes and program fixes. New features and functionality are added in Product Update 5 that is scheduled for next year.

Sage ERP MAS 200 SQL v4.45 video - Part 2

Sage ERP MAS 200 SQL v4.45 has been released for New customers. This new version of MAS 200 for SQL looks very promising. Sage University released an overview video of this version of MAS 200 on SQL. Here is the second part of a video that Sage released. To see the first video, click here.

Sage has released the first version, for the second time, of Sage ERP MAS 200 SQL. Version 4.45 is now available for newcustomers. This is not an upgrade from the 3.x version of SQL and is not considered to be the same product. This is a re-release of SQL as a new MAS 200 product. This version of MAS 200 uses the new Business Framework architecture. It has improved MAS 200 by using Microsoft SQL as the Database so that it will  provide stability and scalability. Some of the reasons you might want to go to this version of MAS 200 would be:

Year End Updates Scheduled to be released

It is coming close to the end of the year which means the Year End Updates are going to be released soon. Sage plans to have the Sage ERP MAS 90 and 200 Q1 2011 Tax Table Update (TTU) and Interim Release Download (IRD) available after December 17th, 2010. The downloads will be available from the Sage Online Support section.

Remember: If you are a Preferred Software Support account with MBA you can have us download and install these updates for you as part of your support.

As it is necessary Sage will update the TTU each week with late-breaking changes. The IRD changes will be included in the Product Update (PU) 4.40.0.4 or Service Update (SU) 4.30.0.21 when it is released. The SU and PU is expected to be released the week of December 27th, 2010. The TTU will need to be updated before processing your first payroll for 2011.

Sage MAS 90 and 200 ERP Product Update 3 (4.40.0.03)

Now available is Product Update (PU) 3 for Sage ERP MAS 90 and 200 released from sage on September 27th 2010. New customer-requested features streamline workflows and solve Bank Reconciliation pain points. One of the main reasons for most users to update to this PU is to have Sage ERP MAS 90 and 200 4.4 compatible with Microsoft Office 2010. The remaining enhancements are to Bank Reconciliation.

This PU has had a few issues with the release. There have been a few bugs reported with this release and MBA recomend waiting until the next PU release, unless the need for Microsoft Office 2010 compatibility is requried. Sage has already released fixes for most of the issues that were found after the PU 3 release.

Sage MAS Intelligence

Sage MAS Intelligence (SMI) is the replacement for FRx for Sage Software. Microsoft has given FRx an end of life date (end of 2012) and it is approaching. Sage is not going to wait around until the product is no longer supported. They have already found a replacement product and SMI is that product.

ACH Electronic Payment

A new feature that was added with product update 4.40.0.2 is ACH Electronic Payment. ACH Electronic Payment update now provides you with the ability to pay your vendors electronically. This topic provides information and requirements for generating an ACH file that contains payment information for vendors that is submitted to your financial institution.

Enhanced Customer PO Number Validation

A new feature that was added with product update 4.40.0.1 is Enhanced Customer PO Number Validation. In Sales Order Options, you can now optionally choose to check for duplicate customer PO numbers in Sales Order Entry, Sales Order Invoice Data Entry, Sales Order History, Accounts Receivable Invoice Data Entry, and Accounts Receivable Invoice History.

Allowed Job Statuses in Data Entry Tasks

A new feature that was added with product update 4.40.0.1 is to have Allowed Job Statuses in Data Entry Tasks. You can now control the selection of jobs in data entry tasks based on the job status. For example, you can define settings that only allow users to enter a billing for jobs that have a job status of Complete.

Multiple Automatic Earnings for Payroll

A new feature that was added with product update 4.40.0.1 is multiple automatic earnings for payroll. You can now set up automatic earnings codes for employees to help with the data entry process in Payroll. Once defined, they can be used to automatically create Payroll Date Entry line entries using Auto Pay. This is beneficial for employees whose hours are routinely distributed to multiple earnings codes.

Sage MAS 90 and 200 ERP Product Update 2 (4.40.0.02)

After four months, Sage released the second product update to Sage MAS 90 and 200 ERP version 4.40 (4.40.0.2) on 7/16/10. The second Product Update is available via a compact download from Sage Online. Delivering additional features and functionality and product enhancements as an additional on-plan customer benefit, Product Update 2 delivers value across the system and in a range of modules including Bank Reconciliation, Accounts Payable, and Paperless Office. The Pre-release notification went into detail about new features that this release will include. Many of these enhancements are the result of incorporating the main features and functionality of select Extended Solutions into the core product, and others are totally new customer-requested features that solve pain points.

Also included in Product Update 2 is a new Pre-Installation Data Scan utility that will help identify data issues prior to installation.

If Master Developer or Extended Solutions customizations have been made to your Sage MAS 90 or 200 software, contact your Sage Software business partner or Master Developer before installing any Service Pack or Product Update.

Before installing product update, please note the following:

  • We highly recommend that you back up your system before installing any updates or version upgrades. Otherwise, data may be lost if the update fails.
  • Product Update 2 (4.40.0.02) includes a Pre-Installation Data Scan utility that helps identify potential data issues prior to installation.
  • Install this Product Update from the same computer that was used to install Sage ERP MAS 90 or 200.
  • After installing the product update, run WksUpdate.exe from the server's ..\Mas90\Wksetup folder at each workstation on which you would like to update the local help files.

The following is a list of enhancements and corrections that have been incorporated for Sage MAS 90 and MAS 200 version 4.40 in this Product Update. Product Updates are cumulative, containing all program corrections found in prior updates.

Pre-Installation Product Update Scan Functionality

The purpose of the scan functionality, introduced in the latest product and service updates (version 4.4.0.2) is to quickly identify data files that will not successfully convert in the update. The scan reads the primary key of each .M4T table for the selected company(s) (excluding reporting tables, but including Sage MAS_System tables) and identifies those data files that will not complete a physical update. At the completion of the scan, a log is displayed listing company data files scanned and data files that must be corrected prior to continuing the update installation. If data file discrepancies are identified in the log the update installation should be canceled and the discrepancies addressed prior to completing the update installation. The scan is not all encompassing, there are data file issues that that will not be identified by this first version of the utility and the scan is not a replacement for routine data maintenance. Please see below for exceptions to the current utility.

Service Update 4.30.0.19 Release

Sage released a new service update #19 for version 4.30 on 07/16/10. The service update can be downloaded from Sage's website under support. Follow the links for Service Packs / Program Fixes and choose the 4.30 Service Updates.

Product update 4.40.0.2 coming soon

Sage released a notice today to business partners that the new product update will be coming soon. This will be the second release to the 4.4 version of Sage MAS 90 and 200. The first pre-release notification for 4.40.0.1 noted new features such as Record Wire Transfers in Account Payable and Search by Lot or Serial Number in Inventory. In this pre-release notification for 4.4.0.2 Sage noted new features like a Recalculate Outstanding Entries Totals Utility for Bank Reconciliation and Positive Pay Export Wizard. New features that Sage has added to the product along with existing Extended Solutions that have been encorparated into the product continue to make Sage MAS 90 and MAS 200 a very strong product that continues to grow. Service Update 18 reposted

Sage announced on Tuesday that Service Update 18 has been reposted on the website. The following is Sage's announcement:

Sage MAS 90 and 200 Service Update 18 (SU18) reposted

As of today, Tuesday, May 4th, the Sage MAS 90 and 200 Service Update 18 (SU18) is reposted on Sage Software Online.The revised SU18 installation files contain the following additions to address existing company data file corruption causing the update to abort:

  • The user is prompted to confirm they have a backup prior to applying the update.
  • Data dictionaries are copied to the Uninstall Information directory in the event the update fails.
  • An error message alerting the user that the upgrade aborted and identification of the file names that the conversion process has detected will cause issues unless repaired. However, this may not be a comprehensive list of corrupted files.

Troubleshooting PHP ODBC Connections to MAS 90

We are seeing more customers wanting to connect to their MAS 90 data and in doing so they are creating .net application or PHP applications that read ODBC. We already addressed how to do this in a previous articlewith .net. This article will assist in a few common issues when trying to connect PHP to MAS 90. We will not cover the PHP code to create the DSN or connect to ODBC. Instead we will address an issue when you try to connect that says "Table is not accessible, SQL state S0000 in SQLExecDirect".

When an error shows "Table is not accessible" the first thing that should come to mind is path and permissions. Here are the things you should first look at to see if your connection to MAS 90 should work. This is for version 4.x or greater.

Windows 7 Support for Sage MAS 90 and 200

Sage Software is now supporting Windows 7, Windows 7 - 64 bit, and Windows 2008 Server 64-bit Terminal Server as workstations for Sage MAS 90 and 200 version 4.3 and 4.4. This was implemented with the following program fixes:

Sage MAS 90 and 200 Manufacturing Customers using version 4.4

There is an issue effecting Sage MAS 90 and 200 Manufacturing Customers on version 4.4 using Bill of Materials and Work Order with Bill of Materials.

The issue is related to the quantity per bill on component items on a Bill of Material rounding to whole integers for non-integer Unit of Measure items. Customers experiencing this issue should contact Sage Customer Support.

Possible Symptoms:

The following symptoms may occur:

Bill of Materials – Print Picking Sheets rounds the quantity per bill for non-integer Unit of Measure items to the next whole integer causing additional raw materials to be issued against the bill.

Work Order – Work Orders created using a Bill of Materials rounds the quantity per bill on non-integer Unit of Measure component items to the next whole integer:

  • Potentially causing additional raw materials to be issued against the work order
  • Will ultimately result in overstated costs on produced items

Sage Payment Services - Gateway Update

A UPS can prolong the life of equipment, keep data from being lost or corrupted. Has your UPS been talking to you? Those high pitched beeps might be telling you that your battery needs to be replaced. If you haven't changed the UPS battery in a while, it might be time for a new one. A UPS is only as good as the battery in it!

ASP Web Applications accessing MAS 90

Sage MAS 90 ERP and Sage MAS 200 ERP have an e-Business application for users who wish to have an internet store for customers (B2B) and consumers (B2C). These are great, out of the box, applications if you want to keep your site simple and to the point. Most everything is configured through the accounting interface. HTML can be added in the descriptions to give the site a custom look without having to have a programmer develop your shopping cart. During the check out process it will charge the credit card with Sage payment services or PcCharge and all the transactions flow through the accounting system No import or export. It is really a great application but like I stated before it is a very basic, out of the box, solution.  It lacks in Search Engine Optimization (SEO), Suggestive Selling, Social Media Links, Tell a Friend/E-Mail info, PDF of page, Human Readable URLs, and many other features and functions that most of today’s commerce websites have.

Smaller is better, when it comes to email

Most users of email take for granted how easy it is to send email. Email has become a staple in everyday life. Not only are we using email at work but now we are using email at home and we have come to depend on it. Email is no longer just text being sent. We want to share more than just words. We want to attach documents and pictures. Before you know it an email that was very small 100KB now becomes 8MB and is on its way through the Internet. Or so you thought!

Most email providers will cap email size due to the resources used when sending, receiving and storing email. Typical caps on email could be from 2mb to 10 mb with an average of 6-8 mb for most ISPs. Image trying to carry into your house 100 grocery bags full of food at one time. They are too many bags and they weigh too much to carry at one time. Email is the same way. Having an email too large would keep the system from performing hence the reason ISP and email providers will cap email size.

Database Choices for MAS 200 - Native C-ISAM or Microsoft SQL

It has been a long time since we addressed this subject on our website. We posted a database white paper after Sage MAS 200 for SQL was first introduced.
